Your Responsibilities:
By streamlining candidate coordination, managing critical agreements, and maintaining compliance, this role will be involved in all aspects of HR administration, recruiting, onboarding, providing payroll information and thereby support the seamless integration of top talent into the organisation. They will contribute to creating a positive and professional candidate experience while fostering cross-BU collaboration and efficiency. This role is instrumental in supporting GM&S’s mission to drive sustainable growth and innovation through a high-performing and engaged workforce.
Coordinate interview schedules across multiple time zones, ensuring timely and efficient communication with candidates, interview panels, and hiring managers.
Manage and update the interview scheduling system and maintain accurate records of candidate progress.
Liaise with the Talent Acquisition Manager to create and maintain a structured candidate pipeline.
Assist in drafting and managing entrustment agreements, ensuring compliance with internal policies and legal requirements.
Manage general and system-related administrative tasks, including employee letters.
Input employee changes into HR systems and secure necessary approvals.
Handle holiday and absence-related queries, providing clear and timely responses.
Manage requests related to systems, salary, benefits, and company policies, ensuring effective resolution.
Administer key HR systems, including the people database, Workday, and absence management tools.
Continuously review and enhance administrative processes to drive efficiency.
Process invoices, raise purchase orders, and manage recharges.
Track, analyse, and report on HR data to support decision-making.

A successful background in HR administration, recruitment coordination, or a closely related role, demonstrating a strong foundation in HR operations.
Proven ability to coordinate complex interview schedules across multiple time zones, ensuring seamless communication and an excellent candidate experience.
Familiarity with managing candidate pipelines and overseeing onboarding processes, ensuring new hires are welcomed and integrated smoothly.
Outstanding organisational and time-management skills, capable of juggling multiple priorities in a fast-paced environment without compromising quality.
High attention to detail and accuracy in all tasks, particularly in maintaining records, scheduling, and documentation.
Ability to thrive in a dynamic, global business environment, demonstrating flexibility and resourcefulness when managing shifting priorities.
A proactive approach to identifying areas for improvement and implementing solutions that enhance efficiency and effectiveness.
