Building Operations, Facilities Services

Key Responsibilities:

Calendar Management:

  • Manage complex and dynamic executive calendars
  • Schedule and coordinate meetings, appointments, and conference calls
  • Prioritize and manage conflicting schedules

Travel Arrangements:

  • Plan and coordinate domestic and international travel
  • Prepare detailed itineraries and manage logistics
  • Handle travel expense reports and reimbursements

Meeting Coordination:

  • Organize and prepare for executive meetings, including board meetings
  • Prepare agendas, compile materials, and take minutes
  • Arrange catering and room setups as needed

Communication:

  • Act as a liaison between executives and internal/external stakeholders
  • Screen and prioritize incoming calls, emails, and correspondence
  • Draft and edit emails, memos, and other communications on behalf of executives

Document Preparation:

  • Create and edit presentations, reports, and other documents
  • Maintain filing systems (both electronic and physical) for easy retrieval

Project Coordination:

  • Assist in managing special projects as assigned by executives
  • Follow up on action items from meetings and track project progress

Office Management:

  • Maintain office supplies and equipment for executive suite
  • Coordinate with facilities and IT for executive office needs

Confidentiality:

  • Handle sensitive and confidential information with utmost discretion

On-site –Hyderabad, TS
